Duration: Permanent

Hours: 40 Hours p/w Monday to Friday with availability for on-call outside of normal working hours.

Requirements:
- Full, clean ‘B’ Driving license essential.
- Full, clean ‘C’ Driving license preferred.
- Traffic Management experience preferred.
- Previous experience working in Civil Construction or Motorway/Road Maintenance desirable.

Role:
- Depot Administrators are an essential presence in the satellite depots for the smooth day-to-day running of the local O&M function. The role provides p.a. support to the Depot Manager and payroll preparation for the Finance Manager while also dealing with local staff enquiries and calls from members of the public relating to windscreen repairs, illegal signage etc. in collaboration with head office.
Responsibilities:
- Ensuring Timepoint records and rosters are input and kept up to date for all employees based at the depot and preparing accurate output reports for payroll.
- Liaise with Depot Manager and HR on any clocking issues on Timepoint and collaborate with HR for annual leave entitlement audits and adjustments.
- Setting up new employees on Timepoint.
- Liaise with recruitment agency regarding weekly payroll outputs for agency staff.
- Undertake centralized tasks as delegated by HR e.g., assisting other depots with backlogs or absence cover remotely.
- Provide local administrative assistance to the Depot Manager.
- Filing and Scanning Permits (PTW), Method Statements etc.
- Filing and Scanning Toolbox Talks and any other records requested e.g., Contact Tracing, delivery dockets etc.
- Processing Fuel Deliveries, gravel deliveries etc. and records.
- Managing salt deliveries, collections, weight-ins and records.
- Updating Gate Security Users.
- Arranging windscreen repairs due to maintenance incidents for members of the public.
- Facilitating collections from the depot of illegally placed signage confiscated from the Network.
- Keeping records, minutes and notes of meetings and providing general administration support to the Depot Manager (or visiting Maintenance or O&M Managers) such as binding, laminating, copying, printing, arranging local events, handling correspondence in and out etc.
- Supporting the management team in establishing and maintaining a safe, healthy working environment for all staff, customers, visitors, including daily checks and ensuring local fire drills are executed and recorded.
- Ensuring supplies are in stock including stationery, PPE, and local equipment is serviced i.e., photocopiers etc., as required.
- Arrange petty cash consolidations or payment reimbursements.
- Raise Purchase Orders on SAP with back-up bid comparisons and order history.
- Ensure supplier credit applications are completed and any problems with delivery of goods are noted to the Accounts Dept if payment should be withheld pending rectification.
- Maintain hired vehicle registration on the vehicles register, the national database and e-flow accounts including accurate hire/off hire arrangements and recording.
- Arrange for local IT issues to be resolved with Acumis.
